Position Title: Administrative Coordinator

OVERVIEW
The Administrative Coordinator performs a variety of administrative tasks to organize and implement Conservation department programs/projects and initiatives. The Coordinator will provide operational and administrative support to the Conservation department including helping to maintain the conservation data, grant application materials, project records, production of reports; and completion of other activities aimed to build Conservation department projects/programs; and may involve the support of project management and development.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Administrative Coordinator is responsible for the following primary job responsibilities and essential functions:
- Provide support to the Conservation Strategy team to share, collect and organize grant application materials, as well as work with applicant organizations to troubleshoot issues that arise during the application process
- Support the Conservation Strategy team in the development of materials for Board Meetings, including generating document templates in Google Docs/Sheets/Slides, formatting and proofing pdfs, Google Docs/Sheets/Slides and generating and maintaining projects and associated tasks and deadlines in a project management software (Asana)
- Provide support to conservation officers in the production and management of project agreements and all associated aspects.
- Work with Conservation Directors to ensure that information in the conservation database is accurate and up to date.
- Assist with the development of departmental SOPs to standardize and streamline processes and procedures.
- Provide support to the conservation team on various aspects related to the operations of the department and internal communications needs.
- Communicate results in a variety of formats, including interactive online maps, infographics, written narratives, and other creative media.
- Other duties related to organizational operations as assigned.
KNOWLEDGE, SKILLS & ABILITIES
- Prior experience with non-profit organizations desired and a personal passion for conservation is essential.
- Relevant experience working with data (preferably some experience with GIS data and associated tools), database software, project management software (preferably Asana), and Google Workspace or Microsoft Office.
- Superior attention to detail and an ability to manage up.
- Experience coordinating multiple projects, setting realistic deadlines, and managing timelines.
- Ability to synthesize complex information.
- Positive solution-oriented outlook.
- Ability to react to time-sensitive matters as well as manage complex, longer-term initiatives.
- Strong interpersonal and creative skills.

QUALIFICATIONS
Bachelor's Degree desirable but not required.

Working Conditions and Travel Requirements
The may choose to work from home, at our office in Warrenton, VA or mix the two. Remote work requires reliable internet access.
Occasional national and/or international travel may be required for organizational meetings and other events.

Anticipated Salary
The salary range for this position is $47,000-$52,000 commensurate with experience. This base compensation range represents the anticipated low and high range of wages for this position. Actual salaries will vary and will be based on various factors, such as candidate's location, qualifications, skills, competencies, and proficiency for the role.
