Description
Medical Dermatology practice seeks experienced individual to serve as a full-time assistant office manager. This individual will function as an integral part of our management team and work directly with our office manager to further the mission of the practice. We are looking for someone who loves to work with people, and is capable of providing exceptional customer service in a friendly patient centric healthcare environment.
Competitive candidates should be highly organized and detail oriented, take initiative, be responsible and dependable, possess excellent communication, management, and organizational skills. They should also be proficient in human resources and compliance. An overall knowledge of budget and financial reporting is required. Previous EMR/EHR experience, and proficiency with Microsoft office and outlook required.
Competitive salary and benefits for qualified candidates. A minimum of 1 year experience is preferred. Travel to all General Dermatology locations (Avon, Cromwell, and South Windsor), on an as needed basis, is required but the position will be primarily based out of South Windsor.
Duties include but are not limited to:
- Overseeing daily operations of the front desk and back office for both the General Dermatology Division
- Managing physicians’ schedules
- Supervising, training, and evaluating office staff
- Troubleshooting patient problems/complaints (operations related, protocol related or billing related)
- Ability to work intimately and collegially with all managers within the management team
- Recommending, developing and implementing improvements for the practice
- Serve as a liaison between staff and the primary manager/physician partners
- Ordering supplies for the practice
- Recruitment of medical staff and front office staff and arranging interviews with physicians on an as needed basis.
- Overseeing interactions with various vendors including IT, EMR, linen service, website services, etc.
- Work with various department managers to ensure the goals of the practice are being met
- Meets with management team on assigned days, to review practice changes, status and needs.
- Enhances operational effectiveness, emphasizing cost containment without jeopardizing important innovation or quality of care.
- Ensures practice compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies. Continually monitors operations, programs, physical properties. Initiates appropriate changes.
- Represents the practice in its relationships with other health organizations, government agencies, and third party payers.
- Assists the office manager in managing all practice managed care relationships, including monitoring of related reimbursement, negotiation with third party payers, provider credentialing, and maintenance of contracts.
- Works with office manager to assure that vendor benefits packages (health/dental, 401(k)) liability, malpractice insurances are reviewed yearly to assure that we are within budget and make recommendations accordingly as to any changes that should be considered.
- Resolves any administrative and HR problems and keeps lines of communication open with staff to ensure employee morale and a professional work environment.
- Maintains strictest confidentiality and ethics.
