Description
We are seeking an experienced and dedicated Administrative Assistant to join our dynamic team. As an Administrative Assistant, you will play a crucial role in managing inbound calls, addressing employment verifications, employee inquiries, and overseeing the I-9 completion and onboarding processes. Your excellent communication skills, attention to detail, and strong organizational abilities will contribute to the smooth functioning of our administrative operations.
Key Responsibilities:
Inbound Call Management:
- Answering incoming calls from employees and external parties promptly and professionally.
- Providing accurate and relevant information to employees regarding various HR-related inquiries.
- Handling employment verifications and responding to inquiries from third-party agencies in compliance with company policies.
Employee Support:
- Assisting employees with questions related to benefits, policies, procedures, and other HR matters.
- Offering exceptional customer service and resolving issues in a timely and efficient manner.
- Escalating complex inquiries to the appropriate HR personnel when necessary.
I-9 Completion and Onboarding:
- Ensuring the timely and accurate completion of Form I-9 for new hires, in compliance with federal regulations.
- Collaborating with new hires to verify their employment eligibility documentation.
- Coordinating and facilitating the onboarding process, including the collection of required documents and forms.
Documentation and Record Keeping:
- Maintaining accurate and up-to-date records of employee inquiries, verifications, and onboarding processes.
- Ensuring the confidentiality and security of sensitive employee information.
Qualifications:
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy.
- Proficiency in using Microsoft Office Suite.
- Familiarity with employment laws, regulations, and compliance (especially Form I-9).
- Customer-oriented mindset with the ability to handle sensitive and confidential information.
- Strong organizational and multitasking abilities.
- Positive attitude, adaptability, and a willingness to learn.
