Twin Lakes Counseling is an insurance-based group psychotherapy practice in Federal Way, Washington. We are dedicated to making transformative mental health counseling and family therapy accessible to our community. We are looking for a virtual administrative assistant to schedule intake appointments from our waitlist of clients, to verify insurance, and to provide support for new client inquiries. This is a part-time, work-from-home position with a flexible schedule within Pacific Standard Time (PST) business hours.
We are looking for a fun, personable, and highly skilled communicator to join our team. Professionalism and excellent customer service skills are extremely important. The job is not easy, but it is rewarding and you get to help the community!
Main Responsibilities:
- Contact clients via phone and email to schedule intake appointments
- Continually follow up with potential clients to maintain an excellent standard of care
- Set up new client profiles in our practice management system
- Diligently collect all required information from clients when setting appointments
- Communicate with clinicians and clients about upcoming intake appointments
- Respond to inquiries about waitlist status and policies
- Explain policies to clients, including cancellation, insurance, and scheduling
- Verify client insurance benefits online or over the phone within 48 business hours
- Monitor clinicians' schedules for new openings
- Carefully follow HIPAA and healthcare security protocols
- Direct existing clients to their clinicians kindly and professionally
- Stay incredibly well organized, despite multiple sources of information
- Generally be awesome and helpful
The ideal candidate will have/be:
- Extremely professional and good at customer care
- Work well within an established structure/workflow/process
- Personable and friendly
- Able to communicate clearly (written/verbal)
- Available to work at least 15 hours per week M-F during business hours PST
- Very comfortable with technology
- Extremely detail-oriented
- Good at managing their time and multiple tasks/projects
- Adaptable & willing to learn
- Able to manage confidential information
- Confident problem solver
- Motivated self-starter
- Willing to treat clients and teammates as VIPs
- Humble, hungry, & smart (i.e., emotionally intelligent)
Key Qualifications:
- Bachelors degree or higher preferred
- Experience working in the mental health industry preferred
- Strong aptitude for technology and an ability to stay extremely well organized
- The ability to perform all job functions over the telephone and on the computer
- HIPAA-compliant in-home office setup, including: Mac or PC Computer, high-speed internet access, computer with webcam, & designated quiet and professional space to work
- Smartphone with app-based capabilities
Bonus Points if you are/have:
- Knowledge of psychology/counseling or prior work in the mental health field
- Located in Washington State, Texas, North Carolina, Colorado, or Maryland
- Bi-lingual
