Position Description:CA Forward is a multi-partisan cross-sector steward leadership group committed to ensuring the California Dream is accessible to everyone in all of the states regions. We are looking for a part-time (20 hours a week) Accounting Assistant. This position reports to the Controller and will provide ongoing support across multiple accounting functions.
Compensation: $35-40 per hour, DOE.
Schedule: Flexible hours, but must be able to work core during business hours of 9am-2pm.
The Accounting Assistant will have the following duties:
1. Banking
- Reconciling bank, credit card, and other balance sheet accounts;
- Recording check deposits, wires, ACH and ETF transactions.
2. General Ledger
- Preparing and maintaining sub ledgers as required;
- Preparing journal entries;
- Reconciling general ledger accounts for monthly close.
3. Accounts Payable
- Setting up and maintaining vendor accounts;
- Reviewing accuracy of staff and vendor expense reimbursement reports and other payables documents;
- Assisting in coding and documentation of payment authorizations;
- Communications with vendors and staff as needed.
4. Payroll and HR
- Payroll and pension processing for biweekly payrolls;
- Assisting HR personnel with onboarding, insurance, benefit enrollments, and employee records for staff;
- Assist HR in administration of timekeeping systems.
5. Accounts Receivable
- Assisting in the preparation of sponsor, program service and event attendee billing;
- Maintaining ledgers and receivables reporting to staff;
- Documenting and assisting with collections.
6. Financial, Budget, Grant reporting
- Supporting the preparation of quarterly and interim financial statements;
- Supporting the preparation of grant reports to funders;
- Supporting monthly financial closing activities.
7. Audit, Tax, and Other Regulatory Compliance
- Supporting annual fiscal audits, including maintaining schedules and participating in testing;
- Assisting in preparation of forms 1099 and other required forms.
8. Other
- Maintaining accountable documents for all functions according to document retention policies, utilizing cloud storage system;
- Assisting in the creation of and regular upkeep of policies and standard operating and procedures;
- Attending company wide, all hands meetings as required.
Qualifications:
Prior non-profit accounting experience and knowledge of generally accepted accounting principles and fund accounting preferred.
A BS in Accounting, or equivalent experience and a minimum of 3 years accounting work experience is required.
The ideal candidate will have advanced and demonstrable skills with Excel, QuickBooks online, Expensify (or similar) and cloud storage systems. The ability to develop and document processes and communicate with across teams will working remotely and independently, with a growth mindset is essential.
