Job Summary:The Intake Coordinator will be responsible for answering and directing incoming Incident Intervention calls to appropriate associates, entering cases into the database system in a timely manner in addition to other administrative support, as needed in the Incident Intervention department.
Responsibilities:The following reflects the current definition of essential functions for this job but does not restrict the tasks that may be assigned. Leadership may assign or reassign duties and responsibilities to this job at any time.
- Responsible for answering and directing incoming Incident Intervention calls to appropriate associates.
- Enter cases into database system in a timely manner.
- Create case by obtaining employee demographic information and enter into database.
- Send appropriate notification to the client
- Task clinician for follow-up
- Review after hour messages and Clinician notes.
- Create a case (if applicable)
- Enter documentation
- Send notification to the client
- Assign Clinician to created case.
- Aid WorkCare Clinicians in case follow-up, clinic visitations, medical records and case notes.
- Contact clinics or hospitals to obtain employee medical records as needed
- Enter and create cases received from other departments.
- Check right fax and attach documents to appropriate cases
- Based on state guidelines schedule clinic visits for

- Send GPL
- Coordinate and schedule peer to peer with clinic provider and WorkCare Physician.
- Assists with fulfilling client material request.

- When needed, could have responsibility for assisting with training/re-training intake coordinators.
- Performs additional duties and assumes additional responsibilities as identified by supervisor for the efficient operation of WorkCare.
Qualifications:
- Education and Experience
- High school diploma or general education degree (GED); OR one to three years related experience and/or training; OR equivalent combination of education and experience.
- Medical Assistant or Certified Nursing Experience preferred.

- Computer Skills
- Must be competent in the Windows operating system environment, Adobe Professional, Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) and learn other software as needed.
- Physical Demands
- Requires sitting for long periods of time, working at a desk.
- Some bending and stretching could be required.
- Working under stress and use of computer/phone required.
- Manual dexterity required for use of computer keyboard.
- Occasionally may be required to stand, walk, stoop, kneel and/or crouch.
- May occasionally lift and/or move up to 15 pounds.
- Work Environment
- Mainly indoor, office environment conditions.
- Work Environment must be free from background noise and distraction, noise level is acceptable, temperature is controlled. At home set up must meet all Company IT, privacy and safety requirements.
Additional Job Information: This position is Monday-Friday 9:00AM-5:30PM MST with rotating weekends and holidays included in the scheduled workweek. The start date for this position is Friday, September 15,2023. Time: 10:00AM –5:30PM ET Training Dates and time: September 15 - October 20, 2023 9:00AM-5:30PM ET Work From Home Requirements: - Employees must live in a location that can maintain reasonable connectivity to power and internet. - All Incident Intervention employees working from home are expected to adhere to the following requirements prior to working from home: - - Must meet all IT requirements as outlined by IT Department. - Work environment must be free from background noise and distraction. - Must dedicate their full attention to their job duties during working hours. - Must be able to meet the following privacy and security requirements, as per HIPAA regulations: - - - home office must be in an enclosed private room with 4 walls. - home office must have a closed-door during business hours. - home office must be removed from normal foot traffic. - during working hours no unauthorized personnel are allowed in home office. Personal Device Requirement: As part of WorkCare’s Business Continuity Plan (BCP), all employees will be expected to access WorkCare’s systems via a personal device they have available. If a disruptive incident occurs, employees must remain available and prepared to work during their scheduled work shift. It is expected that employees who are scheduled and working during this time utilize their personal device to access the department specific systems. This position has a salary range of $18.00-$21.00 per hour (depending on factors such as job-related knowledge, skills, experience, and qualifications).
