Your Role:
This Sr. Accounting Specialist role will support one of AccountingDepartment.com’s valued large client with 200+ employees. Primary focus will be to manage all aspects of multiple payrolls (Intuit Payroll) and to be the first point of contact for HR-related matters from employees and external partners. Your main responsibilities would include processing and reporting payrolls, benefits administration, 401k, cafeteria plans, onboarding, manually tracking PTO, maintaining personnel records, managing HR documents, and updating internal databases. In addition, you will be responsible for overseeing workers compensation tracking, garnishments, HR report set up (ACA, 401k, Commissions etc.) and timesheet management related to billing in QuickBooks.
This position will work within a team to successfully service all aspects of the client’s accounting needs.
Ideal candidate would be passionate in payroll and HR, with a strong background in accounting. Must have experience with processing payroll in Intuit QuickBooks. Individual must be able to see the whole picture of how payroll/payments tie out to billing and financials. Understands higher level of accrual and cash accounting, including varied levels, classes and divisions.
If time allots, there may be an opportunity in assisting with additional client’s payrolls.
Essential Duties & Responsibilities:
- Audit and process QuickBooks Enhanced multiple payroll schedules and multiple files for three entities (semiweekly and monthly). Complete batches of payroll, direct deposit limits, prepare payroll returns, W2s and 1099s autonomously.
- Manage client’s payroll liabilities – EFTPS and local taxes
- File and pay monthly and quarterly payroll tax returns and may assist with payroll reconciliations
- Responsible for accomplishing a multitude of higher level accrual and cash basis accounting tasks for client
- Conducts billing and payroll review. Ties out and makes nonstandard accruals.
- Point of contact for employees and subcontractors for HR related matters
- Organize and maintain employee and contractor records. Handles onboarding and offboarding tasks such as setting up payroll files, direct deposit and insurance related information to have it ACA compliant.
- Update internal databases (e.g. record PTO or maternity leave). Includes various levels of tracking.
- Manages the timesheet process:
1) Payroll set up – assists client in importing files and notifying of corrections in QuickBooks and items need to match their external databases
2) Billing – item set up as ties to payroll, time imports and corrections
- Maintain HR systems for employee data including: workers compensation, employee garnishments, PTO, attendance, and leaves of absence
- Responsible for all HR Reporting such as, but not limited to: ACA reporting, W2 reporting, 1099 (Box 6 and EIN vs. SSN)
- Manages tracking of insurance deductions with varied levels including draws, exempt and nonexempt staff
- Finding and making corrections to payroll and tax issues as they come up, including F & J Visas
Essential Skills & Experience:
- 3+ years processing payroll in QuickBooks Enhanced Payroll. Familiarity with payroll code and compliance – processing of complex/multiple payroll and special payrolls
- 5+ within proven work experience in an HR administration role
- Experience with payroll liability reports, reconciling, W-2 reporting and 1099s
- Familiarity with QuickBooks Billing
- Experience with Vendor Management
- Ability to prioritize workload and shift gears based on workload and project demands
- Adept at utilizing analytical and critical thinking skills to piece together all various components of clients’ financial business processes in order to provide insights and recommend solutions
- Excellent written and verbal communication skills
- Comfortable questioning client for additional information
- Able to adapt in ambiguous situations and use sound judgment and decision making skills
- Meticulous attention to detail
- Demonstrated ability to keep highly organized and manage multiple projects simultaneously
- Proficiency with Microsoft Office applications, particularly Outlook, Excel, and Word
- Friendly, outgoing personality with a positive attitude and strong customer service skills who enjoys meeting and interacting with new clients and staff
- Team oriented individual who enjoys working with others in a telecommuting environment and using a webcam
Minimum Education & Training Required:
- Proficient with accounting software, including but not limited to QuickBooks Desktop and QuickBooks Online
- Experience with third-party applications is preferred, such as Bill.com, Tallie, Jirav, and Teamwork
- Ongoing desire to expand knowledge of new technology and applications
- AIPB, a 2-year Associates Degree in an accounting-related field of study, or Minor in Accounting, preferred but not required
