About the team
We are seeking a bright, forward-thinking, motivated, resourceful, and proactive individual with an established and proven history supporting Senior/Executive level management, to join Zillow Group as Senior Administrative Assistant supporting 3 Directors in our sales organization.
About the role
This role requires high levels of discretion, integrity, good judgment, and professionalism in dealing with senior leaders/executives inside and outside of the company in a fast-paced environment. The successful candidate must understand business priorities, demonstrate the ability to proactively anticipate needs, drive improvements, complete tasks and projects quickly sometimes with little guidance, react with appropriate urgency to situations that require a quick turnaround, and proactively solve difficult or complex problems. Exceptional organizational skills and attention to detail is a requirement.
Responsibilities Include:
- Provide dedicated support to the senior directors and primary team while maintaining discretion, professionalism and judgment
- Act as liaison with other internal teams and external organizations
- Manage complex calendars and scheduling requirements; ensuring alignment with priorities
- Secure and manage travel arrangements, often including complex logistics
- Assist in planning and running both internal and external executive events and meetings (e.g., staff meeting agendas, all-hands meetings, off-sites, morale events, etc.), including logistics, materials preparation/coordination, catering, etc.
- Manage/track administrative activities and help drive completion of key deliverables, including analyses, reports, write-ups, etc.
- Identify and implement solutions to improve efficiencies among the team
- Anticipate follow-ups and proactively manage upcoming needs
- Manage expense reporting and reconciliation, records management, and other duties as required
- Build relationships and partner effectively with other Administrative/Executive Assistants and partners to support
- Executive leaders/teams
- Help manages small to medium sized projects and possibly programs
- May require 30-35% travel annually
This role has been categorized as a Remote position. “Remote” employees do not have a permanent corporate office workplace and, instead, work from a physical location of their choice which must be identified to the Company. Employees may live in any of the 50 US States, with limited exceptions. In certain cases, an employee in a remote-designated job may need to live in a specific region or time zone to support customers or clients as part of their role.
In California, Colorado, Connecticut, Nevada, New York City and Washington the standard base pay range for this role is $34.30 - $54.70 Hourly. This base pay range is specific to California, Colorado, Connecticut, Nevada, New York City and Washington and may not be applicable to other locations.
In addition to a competitive base salary this position is also eligible for equity awards based on factors such as experience, performance and location. Actual amounts will vary depending on experience, performance and location.
Who you are
An established Senior level Administrative Assistant with a minimum of 4+ years of experience supporting multiple Senior/Executive level leaders. A highly motivated self-starter with high levels of discretion and good judgment, high performance standards, strong attention to detail, and initiative to take action, who thrives in a fast-paced environment.
Qualifications and Skills:
- Minimum of 4 years of administrative experience preferably supporting multiple senior level executives; prior experience in a fast-paced environment/technology company a plus
- Strong attention to detail and excellent organization skills
- Demonstrate and display professionalism with a high degree of diplomacy, tact, sound judgment and discretion, especially when handling highly confidential and proprietary materials
- Excellent verbal and written communication skills; ability to work well with different personalities
- Ability to work independently with little supervision, think and plan proactively, and manage time effectively; comfortable with ambiguity
- Ability to multitask, anticipate needs, continually shift/balance competing priorities on a moment’s notice, and work under pressure to meet changing deadlines while maintaining quality
- Effective problem-solver; able to evaluate and modify work processes and proactively resolve issues and conflicts
- Enjoy working collaboratively with others and building effective working relationships
- Strive to exceed expectations with a customer-focus attitude
- Proficient with technology including Microsoft Office (Outlook, Word, Excel and PowerPoint), G Suite (Sheets, Docs, Forms, Slides), Zoom; iPad; iPhone; etc.
- Flexibility to work around leaders’ schedules
